OUTDOOR BOOKINGS

FM Assist staff are authorised to process and approve all outdoor function bookings. Requests must be made 10 days prior to the event for barbecues and information tables. Special Function requests are required one month in advance. Please note the campus is a commercial free zone and function organisers are not authorised to make bookings on behalf of a commercial operator.

BARBEQUES

    Application to be submitted 10 DAYSPRIOR TO FUNCTION During Semester barbecues may only be held between 1.00pm and 2.00pm in listed authorised areas. You may set up from 12.30pm only. Applications for a barbecue outside of these hours are subject to approval by the FM Assist Manager.
  1. Complete Outdoor function booking form. Download here.
  2. Complete the blank sections of the barbecue risk assessment. The risk assessment must be signed by the person responsible for the event. Download here.
  3. Application will be accepted on completion of above documentation.
  4. Approval will take 3 working days.
  5. The approved form must be collected prior to the event.
  6. The applicant must have the approved form available to be sighted on request by UNSW security staff at the time during the function.

    The areas on Kensington Campus that are available for barbecues are below.

  • Globe Lawn (H17)
  • Commerce Courtyard (E20)
  • John Lions Garden (K17)
  • Library Square (south-west corner of Library lawn) (E21)
  • Morven Brown Lawn (D19)
  • Naked Lady Fountain lawn (behind Old Main Building) (J15)
  • Physics Lawn (L13)
  • Science Square (G13)
  • Science Theatre Lawn (G13)

INFORMATION STALLS - Tables Only

Application to be submitted 10 DAYS PRIOR TO FUNCTION 3 spaces for tables are available at both the Quadrangle outside the Colonnade and the Library forecourt. Tables may be manned between 9.00am and 4.00pm and can be hired from ARC.

  3. Approval will take 3 working days.
  4. The approved form must be collected prior to the event.
  5. The applicant must have the approved form available to be sighted on request by UNSW security staff at the time of the function.

SPECIAL FUNCTIONS CONDITIONS OF USE

eg. O’Week, Foundation Day, Night Markets, Festivals, Bands, Faculty functions,Charity drives, Displays and Promotional events etc.

Applications and completed documentation to be submitted ONE MONTH PRIOR TO FUNCTION. You must contact the FM Assist prior to publishing an event for advice and tentative approval.

Documentation required:

  1. Complete Outdoor function booking form. Download here.
  2. A timeline of all activities.
  3. A completed Risk Assessment covering all activities - For advise and assistance contact - Martina Lavin – Ph 93852914 Email: m.lavin@unsw.edu.au, Risk Management Unit. The risk assessment must be signed by the person responsible for the event.
  4. If alcohol is being sold at the function a liquor licence must be obtained.
  5. A list of organisers phone numbers and email addresses.
  6. If marquis or stalls are required a map of layout and bumpin/ bumpout request from supplier.

UNSW OUTDOOR SPACES CONDITIONS OF USE

Following are the conditions of use for using UNSW Outdoor Space, please read these carefully before filling in the Application Form.

  • Application to be made at least 10 days in advance for a barbecue or information table or 1 month in advance if applying for a special function.
  • The use of the approved area is not to be transferred to another party.
  • The application form must be signed by an authorised person from Arc/ Faculty/ School/ Department.Michael Birt Gardens Photo
  • If the BBQ or other cooking equipment are to be used, adequate precautions are necessary to ensure paved/grassed areas are not damaged by fat etc.
  • A piece of plastic or cardboard should be placed under the cooking equipment.
  • At the conclusion of the function, the area/faculty must be left in a clean and tidy condition with all rubbish placed in bins.
  • The user must reimburse any additional costs incurred by the university in cleaning up after the function.
  • A surety of $200 is normally required to be lodged with the application to cover the cost of any damages or additional cleaning resulting from the function.
  • Where alcohol is served and ANY fee is charged, the liquor license must be produced at the time the booking is made.
  • Action may be taken against the person responsible for the function if caught selling alcohol without a license, or if caught making misleading information on the licensing form.
  • A fine will be imposed if any furniture is removed from C.A.T.S rooms for functions.
  • No stakes or spikes are permitted to be used on any outdoor area.
  • The hirer must supply a risk assessment and have it approved before the booking will be accepted.

ANY UNAUTHORISED FUNCTION ON CAMPUS WILL BE IMMEDIATELY CANCELLED AND THE PARTICIPANTS ASKED TO LEAVE.
